Overview

The Administrative Assistant A will provide support within a Buildings and General Services district office. This position will be the first point of contact for internal and external customers and will assist with managing support services as directed. Duties may include assisting with hiring and training along with daily data entry tasks. Candidates should have experience with a variety of computer applications and be able to work with a diverse population to establish and maintain effective working relationships.

 

Job duties include, but are not limited to:

  • Performs all purchasing, accounting, & reconciliation functions through PeopleSoft Works, the SOV credit card program, including validating & processing purchasing card receipts and identifying & reporting misuse & reallocating funds & transactions.
  • Responsible for correctly allocating Fee-for-space (FFS) purchases.
  • Approves and processes all office supply purchases within the district.
  • Perform mail & telephone duties that includes coding & approving invoices for payment and oversight of total usage.
  • Keeps records & submits reports and/or recommendations on various matters for improving efficiency & productivity of district operations.
  • Planning & coordinating mandatory trainings and meetings for the district

Environmental Factors

Duties are typically performed in an office setting with normal working conditions, some of which may be within an institutional environment. Depending upon duties assigned, some travel may be necessary, for which private transportation may be needed.

Minimum Qualifications

Associate's degree in business technology, secretarial science or office management

OR

High school graduation or equivalent and three (3) years of office clerical experience

Completion of a one-year vocational/technical training program in business and office occupations or related area may be substituted for one year of the work experience

College coursework may be substituted for the work experience on a semester for six months basis.
