The Vermont Department of Taxes is seeking an organized, customer-service oriented Executive Assistant for the Commissioner of Taxes. This is a full-time exempt position. This fast-paced job with a range of responsibilities will allow the individual to interact with a variety of staff at the Tax Department, other state agencies, and external stakeholders such as Legislators, taxpayers and tax preparers, and the media. The position will work closely with the Commissioner and other senior staff at the Tax Department to help ensure our department is providing the best government service possible.
 

Description

Duties include but are not limited to:

  • Acting as a key liaison for the Office of the Tax Commissioner to a variety of stakeholders including taxpayers or preparers, representatives from other state agencies, and the Legislature
  • Managing and responding to the high volume of calls, emails, and mail that come into the Tax Commissioner’s Office
  • Serving as a member of the Tax Department communications team, drafting and proofreading materials including memos, press releases, social media pages, and other items as needed in support of the Tax Commissioner
  • Coordinating agendas for meetings of the Tax Department leadership team, senior staff, and more
  • Managing schedules for the Commissioner, Deputy Commissioner, and Chief Operating Officer as requested
  • Keeping organizational documents such as org charts, phone lists, and mailing lists up to date
  • Attending Legislative committee hearings as necessary, coordinating with senior staff and legislative staff for testimony scheduling
  • Coordinating the recertification process for the Department for the National Association of State Boards of Accountancy (NASBA)
  • Supporting and coordinating employee engagement and morale events including annual all-staff meetings and recognition events
  • Providing administrative support

Compensation

Commensurate with experience.

Minimum Requirements

  • Experience with Microsoft Office products including: Outlook, Excel, Word, PowerPoint, Teams, SharePoint, and OneDrive.
  • Ability to communicate effectively, both orally and in writing.

  • Good note-taking and memo-writing skills.
  • Service and process oriented.
  • Organized and skilled at balancing many obligations.
  • Capacity to solve problems independently.
  • Desire to learn and grow.

Special Requirements

VERMONT DEPARTMENT OF TAXES (VDT) BACKGROUND CHECKS: This position will primarily support the Department of Taxes. Candidates must agree to be fingerprinted and pass a background check to be eligible for this position, which will involve access to sensitive federal tax information. Background checks are required by the Internal Revenue Service and are authorized under Vermont law. 3 V.S.A. § 241. Candidates will have the right to withdraw their application before fingerprinting or a background check is conducted.
