Title: BGS Access & Records Administrator

Overview
The Department of Buildings and General Services (BGS) is seeking a highly organized and detail-oriented Access & Records Administrator to oversee access control operations for more than 130 state facilities and over 13,000 state employees, contractors, and trusted partners.
This critical role with the Safety & Security team ensures proper administration of access badges and secure facility entry across all three branches of state government. The position works closely with high-level officials and designees to manage evolving access needs, and plays a key role in responding to emergencies, including lockdowns and visitor screening procedures.
You will serve as the first point of contact for the BGS Safety & Security hotline during business hours, often reviewing security footage, coordinating with on-site staff, and issuing emergency alerts via the SOV-Alert system.
Additional responsibilities include:
- Collaborating with field staff and leadership to ensure systems are functioning optimally.
- Responding to public records requests with precision and attention to policy, redaction needs, and timelines.
- Exercising sound judgment and discretion in interpreting departmental policies and procedures.
This position requires a high level of professionalism, strong communication skills, and the ability to balance routine tasks with urgent, real-time decision-making.

Environmental Factors
Duties are typically performed in a normal office setting. There may be occasional travel outside the office setting for which private means of transportation must be available. Incumbents generally work during normal business hours; however, emergent or time-sensitive circumstances may require occasional overtime or night and/or weekend hours to address immediate concerns, sometimes on short notice. Tact is needed while conversing with state employees, contractors, and the public.
Minimum Qualifications
Two (2) or more years of administrative experience that includes experience with program process, policies, and/or use of various computer programs.
Preferred Qualifications
Experience with security, card access, and/or public record requests.
Proficiency in MS Teams, MS Word, and MS Excel.
Excellent written and verbal communication skills.
Special Requirements
A valid driver’s license is required.
Must pass a fingerprint supported background check.
Within the probationary period, incumbent must be able to demonstrate proficiency in programming access badges and building access control systems, processing public records requests, and effectively administering and disseminating emergency messages.
