Overview

Join the Agency of Natural Resources as an Administrative Services Coordinator! The Agency is seeking a collaborative and detail-oriented Administrative Services Coordinator to support the daily operations that keep Vermont's environmental work moving forward.

 

The Agency serves the people of Vermont through the protection and management of the state's natural environment. Our work includes protecting threatened and endangered species, operating state parks, ensuring dam safety, safeguarding water quality, and many other programs that benefit Vermont's communities and natural resources. The Agency includes the Secretary's Office, the Department of Fish and Wildlife, the Department of Forests, Parks, and Recreation, and the Department of Environmental Conservation.

 

This position serves as the first point of contact for office visitors while also providing operational, human resources, and administrative support for Agency functions. It also includes providing accounting and procurement support. This is a great opportunity for someone who enjoys supporting colleagues, improving processes, and helping an organization operate effectively. As part of the Secretary's Office, this position works with staff across all Agency departments and gains exposure to a wide range of Agency operations and programs.  The position is supervised by the Chief Operating Officer and will report to the agency's Montpelier office Monday through Friday.

Examples of the Types of Work:

•    Serve as the front desk representative for the agency's Montpelier location by welcoming guests, responding to inquiries, and coordinating deliveries.
•    Manage registrations, titles, and fuel cards for the agency's vehicles, trailers, and equipment.
•    Enter personnel recruitments into the Success Factors system and provide general onboarding support for select departments.
•    Administer payroll activities for the Secretary's Office.
•    Support the Secretary's Office with accounting entries and procurement requests.
•    Coordinate with staff across multiple departments to ensure smooth day-to-day operations.

Environmental Factors

Work is performed in a standard office setting.

Minimum Qualifications

High School diploma or equivalent AND three (3) years or more of experience providing administrative-level support to a business or organization.

 

OR

 

One year of full-time college level study in accounting, business or public administration, office administration or a related field AND two (2) years or more of experience providing administrative-level support to a business or organization.

 

OR

 

Two years of full-time college level study OR an associate's degree or higher in accounting, business or public administration, office administration or a related field AND one (1) year or more of experience providing administrative-level support to a business or organization.

 

OR

 

Three years or more of full-time college level study OR a bachelor's degree in accounting, business or public administration, office administration or a related field.

 

OR

 

One (1) year or more of experience as an Administrative Services Coordinator I with the State of Vermont.

 

NOTE: Only administrative work experience is qualifying. Administrative support includes those functions which keep the organization running or provide the resources for others to provide the programmatic work (e.g., accounting, budget management, grant administration, finance, human resources, payroll, purchasing, or space management).

Preferred Qualifications

•    Strong customer service skills with the ability to represent the Agency professionally when interacting with visitors and staff. 
•    Ability to analyze complex activities, issues, and situations to identify problems and draw logical conclusions and develop necessary recommendations.
•    Working knowledge of the principles and practices of personnel administration.
•    Ability to exercise discretion in interpreting and applying departmental policies, rules, and regulations.
•    Ability to communicate effectively orally and in writing. 
•    Ability to establish and maintain effective working relationships and collaborate with individuals at all levels of the organization.
•    Strong organizational skills and attention to detail, with the ability to manage multiple priorities and follow through independently.
•    Ability to analyze situations, identify problems, and recommend practical solutions.
•    Proficiency with Microsoft Office 365 and the ability to learn and effectively use multiple business systems.

Special Requirements

For some positions experience working with the VISION system (VISION is the State of Vermont PeopleSoft financial management system) may be required.
