Overview

The Administrative Services Coordinator I supports the daily operations of the Project Delivery Bureau within the Highway Division at VTrans. This Bureau is responsible for delivering transportation projects across Vermont including bridges, culverts, roadway, traffic, safety, and pavement. This position provides essential administrative coordination to all four of the bureau's programs (Pavement Management, Structures & Hydraulics, Roadway/Traffic & Safety, and Municipal Assistance Program).

 

Responsibilities include purchasing office and field equipment, scheduling meetings and preparing minutes, supporting the invoice approval and tracking process, managing internal communications and reminders, compiling weekly and recurring reports, coordinating travel authorizations, file management, and assisting with special projects and time sensitive tasks. The role requires familiarity with the Microsoft suite, strong communication and organizational skills, attention to detail, and the ability to manage multiple priorities in a fast paced, project focused environment.

 

This position plays a critical role in ensuring smooth operations and compliance with administrative, financial, and procurement requirements. By providing consistent and reliable support, the Administrative Services Coordinator I enables technical staff and managers to efficiently deliver high-quality transportation projects for Vermonters.

Minimum Qualifications

Two (2) years or more of full-time college coursework OR an Associate's degree or higher in accounting, business or public administration, office administration or closely related field.

OR

One year of full-time college coursework in accounting, business or public administration, office administration or closely related field AND one (1) year or more of experience providing administrative-level support to a business or organization.

OR

High School diploma or equivalent AND two (2) years or more of experience providing administrative-level support to a business or organization.

OR

One (1) year or more of experience as an Administrative Services Technician IV with the State of Vermont.

Special Requirements

For some positions experience working with the VISION system VISION is the State of Vermont PeopleSoft financial management system may be required.
