Overview

This is a hybrid position, with in office and remote days. 

 

The Vermont Agency of Transportation (AOT) is seeking a detail-oriented and organized Contract Administrator I/II to join the Contract Administration Bureau's Work Authorization Unit. This position is responsible for administering work authorizations and budget adjustment requests, managing contract compliance, processing consultant invoices, and maintaining accurate financial and contractual records in accordance with State and Federal regulations.

 

The Contract Administrator reviews and issues work authorizations, verifies invoice accuracy, monitors contract expenditures, maintains contract documentation, and coordinates with project managers, consultants, and finance staff to ensure efficient contract administration. The role also supports consultant evaluations, audit activities, reporting requirements, and the resolution of contract and payment discrepancies while providing excellent customer service to internal and external stakeholders.

 

The ideal candidate possesses knowledge of contract administration principles, invoice review, financial reconciliation, and Generally Accepted Accounting Principles (GAAP). Success in this role requires the ability to interpret contracts, policies, regulations, and procurement requirements, along with strong analytical, organizational, and communication skills. Proficiency in Microsoft Excel and database applications, exceptional attention to detail, and the ability to manage multiple priorities while working both independently and collaboratively are essential.

Minimum Qualifications

Associates degree or certificate program in contract administration, public administration, accounting, business management, legal, or related field AND one (1) year of a combination of experience in the review and/or administration of government contracts, grants, agreements, maintenance or construction processes, public administration, law, or a related field.

OR

High School diploma or equivalent AND three (3) years or more of experience in the review and/or administration of government contracts, grants and agreements, maintenance or construction processes, public administration, or a related field.

OR

Two (2) years or more of experience as an AOT Contracts Specialist I or AOT Contract Administrator I with the State of Vermont.
